    Business Value

    Text blocks improve efficiency and consistency in communication by allowing users to reuse standardized text across multiple documents. This reduces manual entry, ensures message accuracy, and supports multilingual communication.

    Feature Overview

    The Text block feature allows users to predefine and reuse rich text snippets in various attachments throughout the application. These text blocks can be translated into multiple languages, enabling multilingual support within attachments.

    Text blocks integrate seamlessly with Document inheritance and Pop-up notes, allowing for automatic inheritance of predefined text between documents and pop-up notifications for users.

    Setup

    Organization administration > Document management > Text blocks

    Field Description
    Text block The unique name of the text block
    Description The description of the text block
    Document type Document type where the text block will be used for. Document type is standard Microsoft functionality, for more information, see Microsoft learn website
    Original text Note Original text Note Original text note in the default language of the concerning company
    Translated text Note Translated text note in the selected language. It is only possible to select languages for which a translation is made. See the description of the “Add translation” functionality

    Translation 

    Add translation and Remove translation options. With those options new translations can be made or removed for different languages. Once a translation is made, you can always check the different translations in the field Translated text by selecting the desired language.
